Voxment Privacy Policy

This privacy policy explains how the Android app Voxment (hereinafter referred to as "the App") handles user data.

1. Information We Collect

Audio recordings: The App records voice memos for transcription and note-taking purposes. Recordings themselves are stored only on the user's device (and in the user's own Google Drive backup, if enabled). How audio is handled during transcription depends on the mode the user selects — see "Transcription processing" below.

Transcription processing: The App supports two transcription modes.

(a) On-device transcription (default): Audio is transcribed entirely on the user's device using a local speech-recognition model. No audio data is sent to any external server.

(b) OpenAI Whisper API (optional): If the user opts into cloud-based transcription, the relevant audio data is sent to OpenAI's servers for processing and the resulting text is returned to the App. According to OpenAI's API data usage policy, data sent via the API is not used to train their models and is retained by OpenAI for up to 30 days solely for abuse monitoring before being deleted.

Location data (GPS): Used optionally to tag memos with location information. This data is stored locally or in the user's own Google Drive backup and is not sent to the developer or any third party.

Google Drive access: The App may access the user's Google Drive only for automatic backup and restore. The App does not collect or store the user's Google account credentials.

Crash and performance data: The App uses Firebase Crashlytics to collect crash reports, including device model, OS version, app state at the time of the crash, and a non-personally-identifiable installation ID. This data is sent to Google servers and used solely to identify and fix bugs.

2. How We Use the Information

All data collected by the App is used solely for providing the memo, transcription, and backup functionality. Except for (a) audio sent to OpenAI when the user chooses the Whisper API transcription mode and (b) crash reports sent to Firebase Crashlytics, no personal data is shared with the developer or any third party.

3. Data Retention and Deletion

Recordings and transcribed text remain on the device or in the user's Google Drive. Uninstalling the App will delete all local data. Backups on Google Drive can be manually deleted by the user. If the user has chosen the OpenAI Whisper API transcription mode, the audio data sent to OpenAI is retained by OpenAI for up to 30 days for abuse monitoring and is then deleted; it is not used to train OpenAI's models.

4. Third-Party Services

OpenAI (Whisper API): Used to transcribe voice recordings into text only when the user chooses the cloud transcription mode. For details, see the OpenAI Privacy Policy and the OpenAI API data usage policies.

Firebase Crashlytics (Google): Used to improve app stability. Crashlytics collects crash logs and device information, but does not collect personally identifiable information. For details, see the Firebase Privacy Policy.

The App does not use any advertising or tracking services.
